Acara Solutions is seeking an Accounting & Business Administrator  for our client in Clifton Park, NY

In this role, you will manage day-to-day finance, HR, administrative, and building operations.

We are seeking qualified candidates with:

  • A solid foundation in accrual-based accounting  
  • Proven experience managing diverse administrative responsibilities within a small organization 
  • Excellent communication skills and a professional, polished demeanor 

Here's what you'll do:

Accounting & Finance

  • Prepare and send invoices to customers and licensees.
  • Reconcile bank accounts, A/R, A/P, and fixed assets monthly.
  • Manage budgeting in Excel, including multi-year projections, cash flow forecasting, and actual vs. budget reporting.
  • Track and report quarterly royalties, allocate revenue by product, and support vendor royalty payments.
  • Oversee bookkeeping tasks: bill payments, payroll data entry (via ADP), credit card reconciliation, and vendor management.
  • Close books annually and work with external accountants on tax filings and audits.

Government Contract Management 

  • Prepare proposal budgets and contract documentation.
  • Submit required government reports.
  • Invoice through federal portals; prepare and reconcile Incurred Cost and Provisional Rate submissions.

Licensee Administration

  • Maintain and update license templates, price lists, and renewal quotes.
  • Track and review quarterly customer royalty reports.
  • Support contract negotiations and renewals.

HR & Payroll Support

  • Coordinate bi-monthly payroll entries (ADP).
  • Manage employee benefits (health insurance, FSA, bonuses).
  • Maintain Employee Manual; ensure compliance with federal/state laws.

Office & Building Operations 

  • Coordinate tenant relations and leases.
  • Manage office maintenance, contractor scheduling, and compliance with town regulations.
  • Handle marketing of available space and renovation oversight.

Position Type: Direct Placement 

Salary:  Up to $70K/yr. **Depending on experience

Job Requirements

Required Skills / Qualifications:

  • Bachelor's Degree in Accounting, Business Administration or related field.
  • Minimum 5 years' accrual-based accounting and office administration experience. 
  • Minimum 5 years' experience using Microsoft Excel (Formulas, etc.).
  • Minimum 5 years' experience using Accounting Software. 

Preferred Skills / Qualifications: 

  • Solid understanding of GAAP, cost accounting, and financial reporting. 
  • Experience with government contract compliance is an asset. 
  • Comfortable handling diverse administrative and operational responsibilities within a small office environment. 
  • Strong organizational and communication skills. 
  • Proactive mindset with the ability to work independently.
