Administrative Assistant to assist our team at our satellite branch in
Amarillo, TX. The ideal candidate for this role will be a highly organized and dependable team player with the ability to assist our team in managing multiple projects, reaching critical deadlines, providing excellent customer service, and producing quality work for our customers. Responsibilities will include but may not be limited to the following:
Duties and Responsibilities - Maintaining positive working relationships with internal and external partners.
- Reconciling PO receivers via Coupa.
- Invoice processing via Coupa.
- Ensure timely payments of invoices to ensure the maintenance of accurate records and reporting.
- Creating and maintaining vendor and employee master files.
- Reviewing and reconciling customer statements and accounts.
- Receiving, placing, and filling customer orders and purchase orders.
- Maintaining internal and external relationships with vendors and employees including solving issues and discrepancies.
- Data entry and other miscellaneous office management tasks including ordering office supplies, filing, scanning, etc.
Required Skills and Abilities - Excellent listening and communication skills.
- Intermediate proficiency in Microsoft Office Suite.
- Positive interpersonal skills with strong attention to detail.
- Ability to work in both a team environment and independently.
- Ability to thrive in a multitasking environment.
- Bilingual in Spanish a plus.
Education and Experience - 1+ years of administrative experience is required.
- Construction supply and equipment industry knowledge a plus.
- Experience with Coupa is preferred.
Physical Requirements - Must be able to sit or stand for prolonged periods of time.
- Must be able to lift 15 pounds if needed.
