Administrative Assistant to the Principal Newport Elementary School
This is an essential, high-impact opportunity to become the central anchor for Newport Elementary's daily operations. As the primary point of contact and administrative support, this role directly contributes to a positive educational experience for every staff member, student, and family. The Administrative Assistant to the Principal is the friendly, professional face of the school, the guardian of its operational flow, and a vital link in the student success.
Building Principal
To serve as the Principal's essential administrative leader, ensuring their vision is executed efficiently and that the school office operates as a professional, welcoming, and efficient hub. This role ensures the smooth and seamless operation of the entire school, fostering strong, positive engagement with staff, students, and parents, and directly supporting the core educational mission of Newport Elementary.
Serves as the primary, professional ambassador and voice for Newport Elementary, maintaining high standards of public relations and managing critical internal and external communications across diverse platforms (i.e., School Messenger, Social Media) to foster a strong, connected school community.
Upholds exceptional telephone etiquette, representing the school with warmth, clarity, and professionalism.
Manages the schedule of appointments and ensures the building calendar of events is accurate and current.
Orchestrates daily substitute assignments, providing clear, organized direction to minimize instructional disruption.
Places, receives, and routes incoming calls and records messages with precision.
Maintains a regular filing system and processes incoming correspondence efficiently as instructed.
Types a variety of materials from rough drafts or from corrected copy, ensuring high accuracy and polish.
Prioritizes student and staff safety by maintaining a log of visitors to the school.
Immediately reports the presence of any visitor who exhibits any unusual behavior to the Principal/Assistant Principal.
Manages crucial daily student data and logistical operations, including accurate recording of attendance, and ensuring timely distribution of essential intra-school communications (mail/deliveries).
Upholds the integrity and confidentiality of all critical student records as required by district and state mandates.
Performs office routines and practices associated with a highly productive and smoothly run office environment.
Provides indispensable administrative support to instructional staff, assisting with the preparation of materials as requested by the Principal to ensure teachers can maximize classroom time dedicated to student learning.
Keeps office equipment clean and proactively orders and maintains essential supplies, ensuring all resources are available when needed.
Manages the school's vital financial accounts (including student activity and petty cash accounts), ensuring complete accuracy, transparency, and integrity of funds that directly benefit student programs.
Acts as a compassionate and capable resource for minimal first aide, providing backup to the Health Clerk as needed to ensure immediate care for students.
Performs various other essential related office duties as assigned by the Building Principal.
