Location: Chicago, IL – 100% on-site

Pay: $60,000 – $75,000

Job Description:

Our client is seeking a highly organized and proactive Operations Administrator to become the central support resource for a fast-paced office and sales team. This is a role ideal for someone who enjoys managing multiple responsibilities, thrives in a start-up setting, and has a strong sense of ownership and problem-solving skills. The role will focus on office operations, administrative coordination, and employee engagement initiatives.

Key Responsibilities:

  • Support internal sales operations by maintaining documentation, coordinating invoices and vendor documents, and assisting with purchase order tracking.
  • Collaborate cross-functionally with internal departments such as finance, legal, and procurement to streamline administrative workflows.
  • Act as a liaison with global teams on coordination tasks such as organizational updates and internal communications.
  • Manage day-to-day office logistics including vendor communication, supply inventory, equipment upkeep, and building relations.
  • Oversee car maintenance scheduling and corporate housing contract updates.
  • Support leadership with scheduling, expense reports, and team meeting coordination.
  • Assist with recruiting logistics including interview scheduling and candidate communication.
  • Plan and execute internal team-building events and support broader employee engagement activities.

Qualifications:

  • 3–5 years of administrative experience in a small business or startup environment.
  • Proficiency in Google Workspace (Docs, Sheets, Calendar, etc.)
  • Valid driver’s license (occasional company vehicle use required).
  • Strong multitasking skills and the ability to remain calm and effective in a fast-changing environment.
  • Confident communication skills and the ability to push back respectfully when needed.
  • Comfortable collaborating closely with leadership, including direct exposure to senior executives.

Additional Details:

  • Hours: Monday–Friday, 8:00 AM – 5:00 PM – 100% on-site
  • Dress Code: Business casual
  • Start Date: Early June
